THE SHORT ANSWER

Value a defined vending route using supported continuing earnings and actual location/equipment scope. Reconcile cash/card collections with product, commission and service costs, including permanent replacement of owner work. National reported sold owner-earnings data supplies context, not a machine-only appraisal or promised multiple. Gross collections, installed readers and foot traffic do not independently establish value or passive income.

Use clearly labeled sold evidence

BizBuySell’s national reported 2021–2025 vending-business sold owner discretionary earnings table shows a 1.80× lower quartile, 2.15× median and 2.62× upper quartile.

(BizBuySell: reported vending-business sales)

The sample includes owner-operated and staffed routes. These are sold earnings figures, separate from current listing asking prices and EBITDA multiples. They do not certify this route, establish a machine-only price or guarantee income. Match actual completed comparisons to location quality/rights, scale, owner workload, asset inclusion, condition, dates and payment terms.

Have the adviser define the chosen method and included machines, readers, stock, vehicles and liabilities. Assets already represented in a comparison must not automatically be added again.

Reconcile collected sales and specified costs first

Reconcile cash and card transactions, refunds, fees and settlement timing for the same machines and period. Review outages, stockouts and seasonal location activity. Deduct actual location commissions, product usage/spoilage and service costs distinctly.

Hypothetical vending contribution; before labor, travel, premises and other costs
Hypothetical same-period inputAssumed amountBoundary
Collected sales after refunds10,000 dollarsNo unsettled receipts included
Products used/spoiled4,000 dollarsDistinct cost, not all stock purchases
Location commissions1,000 dollarsNot already deducted above
Payment/service costs500 dollarsSeparate specified cost
After specified amounts10,000 − 4,000 − 1,000 − 500 = 4,500 dollarsBefore remaining route costs

This leaves 4,500 dollars after only the stated amounts. It excludes route labor, travel/vehicle, storage, maintenance, management, other obligations, financing and taxes. It is not SDE, annual profit, a market margin, a client result or a value estimate.

Budget permanent route work and equipment needs

Use the earnings bridge for supported adjustments. Map purchasing, loading, driving, restocking, cash collection, repairs, location service and administration through the coverage worksheet. Deduct permanent qualified replacement costs where omitted; do not add back every salary or deduct already included payroll again.

Review actual machine/reader title, leases, liens, condition, compatibility, software/payment access, maintenance and repair investment. Keep deferred equipment investment separate from recurring earnings. Modern readers and lower owner hours are evidence to test, not automatic percentage premiums or assurances that every placement continues.

Review location continuity and closing balances

Have counsel assess actual location term, termination, access, commissions, assignment/consent and proposed operator conditions. Use the consent register rather than valuing every verbal placement as a secured contract. Assess real account dependence and continuation evidence without a universal client-percentage cutoff.

Agree usable stock, cash in machines, unsettled card receipts, commissions, refunds, supplier bills and unfinished service through the delivery guide. Compare closing cash, consent conditions, funding and equipment investment without counting the same item twice. The calculator explores assumptions and provides no certified appraisal or guaranteed price.

Owner questions

Is 2.15× a recommended multiple for every route?

It is the median of a national reported 2021–2025 sold owner-earnings sample; actual comparable scope and route risks still need review.

Is the 4,500-dollar example owner earnings?

It is only the balance after three specified cost groups, before remaining labor, travel, property, maintenance and other costs.

Can I add machine value on top of a route multiple automatically?

Define included assets and the comparison method first to avoid counting the same equipment twice.
