THE SHORT ANSWER
Prepare completed event results, accepted bookings and deposits, usable inventory, available crews and delivery/warehouse capacity before marketing. Reconcile tents, tables, chairs, linens and other offered items to actual ownership and commitments. Review equipment-specific responsibilities and venue/customer/provider terms. An event calendar or inventory count does not guarantee earned profit, usable rights or a price premium.
Trace completed events and future commitments
Separate offered item hire, delivery, setup, pickup and outside service. Reconcile accepted scope, actual items, labor, transport, cleaning, storage, credits and collection to annual financials. Distinguish quotations, reservations and deposits from performed earned service.
Show actual peak-season and off-season work, cancelled events and refunds. Identify overlapping dates, venue access and pickup commitments with real records. Read customer/venue/provider assignment, ownership-change, weather, cancellation and damage conditions using the consent register. Use the event-rental financial guide for cost and price discussions.
Reconcile usable inventory and crew capacity
List rental equipment and vehicles by ownership, liens, leases, location, condition, maintenance and needed investment. Separate consumables, resale stock, subrented items and customer/provider property. Reconcile installed/rented-out, in-cleaning, damaged and available units instead of promising that every item can serve the next event.
Map owner estimating, booking, warehouse, delivery, setup coordination and complaints using the coverage worksheet. Verify actual available crews and recurring replacement work. Prepare real premises/warehouse and service-provider conditions. Temporary seller assistance and a planned hire are separate from permanent funded coverage.
Prepare equipment-specific risk and responsibility records
CPSC’s 2019 bounce-house reminder addresses manufacturer instructions, supervision and inflatable risks.
(CPSC: bounce-house safety reminder)If inflatables are offered, have qualified support review actual products, instructions, inspection/maintenance, staffing, incidents and current applicable requirements. This historical consumer reference does not settle all event equipment, venue rules or model-specific operating clearance.
Review actual tent/staging/electrical or other installation responsibilities where offered with appropriate specialists, venues and authorities. Prepare claims, insurance and unresolved matters for advisors. No technical setup, weather threshold or emergency procedure is supplied through sale materials.
Define provider access and closing event duties
FTC guidance addresses necessary access and secure information handling.
(FTC: protecting personal information in business)Use approved redacted event examples. Resolve booking, phone, payment, website and software rights; protect private schedules, addresses, customer/personnel and credential records. Confirm actual planner/referral and venue relationships through their terms.
SBA sale guidance addresses agreement assets and liabilities.
(SBA: closing or selling a business)Define fleet/inventory, receivables, payables, deposits, accepted events, installed/rented-out items and claims using the delivery guide. Plan introductions, remaining permissions and continued service with responsible people. Compare actual closing cash and seller duties without assuming an automatic seasonality or preparation premium.
