THE SHORT ANSWER
Start a daycare valuation with care actually provided, earned fees and supported permanent costs. Licensed places, enrolled children, attendance, deposits and cash collections are different records. Confirm age-specific staffing and actual operator conditions with the responsible authority. Keep property and equipment on a stated transaction basis. A waitlist, accreditation or private-pay share does not automatically assign a valuation premium.
Create a care-to-revenue register
For each consistent period, reconcile contracted schedules, actual provided care, invoices, approved assistance claims, discounts, credits, refunds, receipts and receivables. Identify who owes each amount and any remaining conditions. Separate registration or future-care deposits from earned revenue with the accountant. Cash received does not by itself establish fulfilled care or unrestricted profit.
For assistance/subsidy activity, collect actual provider agreements, eligibility and billing support, payment records and proposed-operator conditions. Do not assume every program has the same collection delay or that changing the family payer mix improves value. Use permitted aggregated evidence in the initial file; protect family and child records. The daycare sale guide develops parent continuity and operating handover; this page focuses on the financial valuation register.
Support the permanent cost of providing that care
Illinois IDEC describes age- and setting-dependent ratios, staff requirements and licensing resources.
(Illinois IDEC: childcare licensure overview)That Illinois overview is not a nationwide staffing rule or ownership-change approval. Have qualified professionals and the responsible authority determine actual licensed/exempt activity, age groups, premises conditions, available qualified staff and proposed-operator requirements. Licensed capacity, enrollment and safely staffed operating capacity need separate evidence.
| Daycare financial input | Keep separate from |
|---|---|
| Earned fees for provided care | Deposits, future schedules and a waitlist |
| Actual staffed age-group capacity | Maximum licensed places alone |
| Recurring qualified director/staff costs | Owner pay removed without replacement |
| Owned property or proposed rent | Operating-business price on a different asset basis |
Include permanent director, teaching/care, administration, substitute and support work with payroll burden, training and appropriate qualified coverage. Reconcile premises, food, supplies, software, insurance and recurring maintenance. An accreditation label does not prove recurring staffing costs or any premium.
Separate earnings adjustments from investment and property
SBA describes several valuation methods and identifying sale assets and liabilities.
(SBA: closing or selling a business)Use the earnings reconciliation to show what was actually expensed and why an adjustment is proposed. A playground capital purchase is not an automatic SDE add-back; the accountant must determine its accounting treatment and ongoing capital needs. Owner draws never deducted from starting profit cannot be added again.
Define equipment and furnishings already included in the business price. Identify property ownership, any separate appraisal and the intended sale or lease terms. Do not automatically add an equipment allowance and property price to an operating-business estimate. If the seller retains the building, budget the proposed supported rent and other premises responsibilities consistently. An unapproved lease proposal is not a completed property right.
Explore a supported value scenario and closing obligations
The calculator accepts an explicitly chosen earnings measure and multiple; it does not certify daycare value or assign a waitlist premium. Support any comparable with its actual earnings basis, size, location, period and included assets. Show sensitivity to earned fees and necessary staffing without assuming extra licensed places are already paid and staffed.
Before treating a price as personal cash, identify deposits, prepaid care, refunds, assistance receivables, employee obligations and vendor bills through the closing register. Resolve proposed buyer/provider rights and accepted premises terms. Have the accountant and tax adviser reconcile working capital, debt, fees and taxes. A clean register makes questions answerable; it does not guarantee enrollment retention, financing or a particular multiple.
Owner questions
Does full licensed capacity prove daycare earnings?
No. Reconcile actual provided care, earned fees, collections and available qualified staffing separately.
Should playground equipment be added back and then added to the price?
Check the actual accounting and included-asset basis with the accountant; automatic earnings and price additions can double count.
Does a waitlist or private-pay percentage set my multiple?
Neither assigns an automatic premium. Support actual earnings, staffing, provider rights and transaction-specific comparable assumptions.
